This is a full-time position located in beautiful Palm Beach Gardens, Florida!

Salary: Competitive; Commensurate with Experience

Salary Range: $70,000 to $80,000 annually + bonus eligibility. This is the expected salary range for this position. Ultimately, in determining pay, we'll consider the successful candidate’s location, experience, and other job-related factors.

Key Responsibilities::

  • Serves as the first point of contact for the company, managing administrative tasks including answering phone calls, greeting guests, vendor communications, and handling mail and deliveries.

  • Responsible for document storage and filing, calendar management, meeting notes, and support tracking after actions and due outs for the Executive Leadership Team.

  • Processes and files business taxes, DBPR, and annual reporting/Sunbiz.

  • Responsible for company-wide weekly communications and processing gift card orders.

  • Responsible for supporting business relationships and contracts, including investor relations, investor roll-ups, vendor management (R365), and lease and contract management.

  • Maintains Microsoft accounts and manages VXIT for technology support, including phone and computer assignments.

  • Responsible for fielding Operations queries and responding timely or directing to the correct point of contact.

  • Assist in the preparation of required reports, including drafting responses to legal inquiries for development, construction, human resources, or operations.

  • Books travel, submits and reconciles expense reports using RAMP.

  • Maintain contact lists.

  • Order office and kitchen supplies and research new deals and suppliers.

  • Responsible for coordinating lunches and office errands, as needed, such as to the bank or post office.

  • Additional duties as requested.


  • Proven experience as an Office Administrator, Office Assistant, or relevant role.

  • Outstanding communication and interpersonal abilities.

  • Excellent organizational and leadership skills.

  • Familiarity with office management procedures and legal and accounting principles.

  • High proficiency in MS Office (MS Excel and MS Outlook, in particular).

  • Excellent time management skills and the ability to prioritize work.

  • Attention to detail and problem-solving skills.

  • Working closely with vendor partners and investors.

  • Experience working with insurance and legal documents.

  • Bachelor’s degree in a related field; or additional equivalent in experience.
